Guest list privacy in seating chart apps

Seating charts contain real people. A good workflow keeps planning useful while limiting who sees guest names, notes, and exports.

Use the minimum details needed

Names and table placements are usually enough for most helpers. More sensitive notes should be included only when they change event operations.

Treat exports as shareable records

An exported image or PDF can be forwarded. Share versions intentionally and avoid including notes that a recipient does not need.

Understand sync and account choices

Optional account sync can make cross-device work easier, but offline planning remains useful when you want the chart local on one device.

Delete old plans when they are no longer useful

After an event, decide whether you need the chart for records. If not, remove old data from the app and any shared files you control.

Privacy-minded sharing

  • Share only the final version.
  • Avoid sensitive notes in general exports.
  • Use account sync intentionally.
  • Delete obsolete charts and files.
