PDF vs image exports for seating charts: which should you send?

PDFs and images solve different problems. The right export depends on whether someone will print the plan, view it quickly on a phone, or forward it to a team.

Use PDF for printing and operations binders

PDFs are best when the chart needs to land in a binder, on a clipboard, at a check-in table, or with a venue manager who prints setup packets.

Use images for fast sharing

Images are easier to send in Messages, email previews, and group chats. They are useful when helpers need to glance at the plan quickly.

Regenerate exports after real changes

Do not mark up an old file unless the change is temporary. Update the chart and export again so the source of truth remains accurate.

Format decision

  • Printing: PDF.
  • Group chat: image.
  • Setup team: PDF plus image if needed.
  • Fast helper access: message or QR share.
